Sasha Gardiner trading as Vantage Aligned (‘we’, ‘us’, ‘our’) is committed to protecting your privacy and handling your personal information responsibly in accordance with the Privacy Act 2020 (New Zealand).

1.1  We collect personal information necessary to provide our services, including: your full name, business name, email address, phone number, and postal or business address.

1.2  Business information: details about your business, premises, food or alcohol licensing status, and compliance history; and, where you engage our Outside Eye business growth and opportunity advisory services, information such as trading patterns, pricing, staffing and rostering arrangements, and marketing activity — and other information relevant to the services engaged.

1.3  Financial information: invoice details, payment records, and bank account information for processing payments.

1.4  Communication records: emails, messages, notes from calls or meetings, and other correspondence.

1.5  We collect only information that is reasonably necessary. We do not collect sensitive information such as health data or political opinions unless specifically required and with your consent.

2. How We Collect Personal Information

2.1  We collect personal information directly from you through: our client intake form, email correspondence, phone or video calls, our website contact form, and signed contracts and service schedules.

2.2  We may also collect information from publicly available sources (e.g. business registries) where relevant to the services provided.

3. Why We Collect and Use Your Personal Information

3.1  Service delivery: to provide the compliance and licensing advisory services, and/or the business growth and opportunity advisory services, you have engaged us for.

3.2  Client communication: to communicate with you about your engagement, provide updates, and respond to your questions.

3.3  Billing and administration: to issue invoices, process payments, and maintain our business records.

3.4  Legal compliance: to meet our obligations under applicable New Zealand laws and regulations.

3.5  Marketing: with your consent, to send you relevant updates or information about our services. You may opt out at any time by contacting us at sasha@vantagealigned.co.nz.

4. Disclosure of Personal Information

4.1  We do not sell, rent, or trade your personal information to third parties.

4.2  We may share your personal information with: Regulatory Authorities where required to submit applications on your behalf; third-party service providers who operate our business tools; and professional advisors (e.g. lawyer or accountant), subject to confidentiality obligations.

4.3  We will only disclose information as required by law, court order, or regulatory authority.

5. Storage and Security

5.1  We store personal information securely using the following business tools: Google Workspace (including Gmail, Google Drive, and Google Docs/Sheets), Calendly, Notion, Zoom, FaceTime, DocuSign, Hnry, and Claude by Anthropic. We take reasonable steps to protect your information from unauthorised access, use, or disclosure.

5.2  Use of AI tools: We use Claude by Anthropic, an artificial intelligence tool, to assist with research, document drafting, and analysis in the course of providing our services. Claude is operated by Anthropic, a company based in the United States, which means information processed through this tool may be handled offshore. We take reasonable steps to limit the personal information used in AI tools and do not share confidential client information beyond what is necessary for service delivery.

5.3  You acknowledge that you have been expressly informed that personal information disclosed by us to an offshore recipient (such as Anthropic) in connection with our services may not be required to protect the information in a way that, overall, provides comparable safeguards to those in the Privacy Act 2020. By engaging our services, you authorise us to make such disclosure for the purposes of providing the services, and you warrant that, before providing us with any personal information about a third party (such as your staff or customers), you have obtained all consents and provided all notices required under the Privacy Act 2020 to enable us to disclose that information to the offshore recipient accordingly.

5.4  With your prior consent, limited personal information such as testimonials may be shared on our social media platforms including LinkedIn, Instagram, Facebook, and TikTok.

Retention of Personal Information

5.5  Retention Period: We will not retain personal information for longer than is necessary and required for the purposes for which the information may lawfully be used.

5.6  Factors Determining Retention: the determination of the retention period shall consider (a) the lawful purposes for which the personal information was collected, and (b) any legal or regulatory obligations that mandate specific retention periods.

5.7  Destruction or De-identification: personal information that is no longer required for lawful purposes shall, within a reasonable timeframe, either (a) be securely destroyed to prevent unauthorised access, disclosure, or breach, or (b) be de-identified to protect the privacy of individuals.

5.8  Exceptions: retention of personal information beyond the necessary period is only permissible where (a) required by a legal obligation or regulatory requirement, or (b) retention is otherwise mandated by court order or another legal authority.

5.9  Periodic Review: we shall conduct periodic reviews of retained personal information to ensure continued compliance with this retention policy and our legal obligations.

5.10  Rights of Individuals: individuals have the right, under the Privacy Act 2020, to request details of the personal information we retain about them and to request its correction or deletion, subject to applicable legal and operational requirements.

6.1  Under the Privacy Act 2020, you have the right to access the personal information we hold about you, and to request correction of inaccurate information.

6.3  If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner at privacy.org.nz.

7. Changes to This Privacy Policy

7.2  Continued use of our services following any update constitutes acceptance of the updated policy.
